A Personal Storage Table (.pst) file is an open proprietary file format used to store copies of messages, calendar events, and other items within Microsoft software such as Microsoft Exchange Client, Windows Messaging, and Microsoft Outlook. There may come a time when you need more space or you just want to clean up your email. A simple way to do that is to offload some of your .pst file to a separate location into an achieve. This article will describe how to use outlooks built-in import/export function to handle your .pst file.

Steps to move your .pst to a file

To move .pst file content into an Online Archive, proceed as follows.

  1. Open Outlook, and click on the File

2. In the left hand navigation pane, click Open & Export.

The Open page appears.

  1. Click Import/Export.

  1. Click to highlight Import from another program or file, then click Next.

The Import a file dialogue box appears.

  1. Click to highlight Outlook Data File (.pst), then click Next.

The Import Outlook Data File dialogue box appears.

6. Complete entries in this dialogue box as follows.

  • Click Browse to find your .pst file on your C: drive (or other drive if appropriate). The file pathname will appear in the File to import text box.
  • In the Options section, click the radio button which best describes how you want any duplicate content to be handled.

7. Click Next.

Additional options appear in the Import Outlook Data File dialogue box.

These options allow you to make a sub-selection of the content from the .pst file if you wish, or simply copy everything.

Side Note:
To copy only a sub-selection of your .pst files, for example only messages from one particular sender, then click the Filter button. This makes the following options available. Select your options and click OK to close the Filter dialogue box.

You can also specify the destination for the Import, from the Exchange locations which are available to you. If you have logged into your Online Archive then this location will appear in the list.

8. To copy the entire .pst file into your Online Archive, then,

  • Select the top level folder to import from (in this example,”Outlook Data File“).
  • Tick the Include subfolders
  • Click the radio button, Import items into the same subfolder in. Then, from the dropdown options in the box below this radio button, select Online Archive – <your mailbox>.

9. Click Finish.

The content you have chosen to copy, from the .pst file you selected, will be copied into the destination you specified (for example, your Online Archive), with duplicates dealt with as you indicated earlier, in Step 6.

Once all the desired content has been copied into your Online Archive, and you have checked it to ensure you are happy with it, you should delete the original .pst file from your original source drive (C: drive or other).
